This playbook will walk you through building an automated personal CRM using Make.com, Airtable, and Gmail. No more missed opportunities. No more scrambling to remember the last conversation.

Implementation Guide

Step 1: Set Up Your Automation Workspace

Objective: Create a Make.com account and prepare your workflow.

1. Go to Make.com and sign up for a free account.

2. Click “Create a new Scenario” to start your automation.

3. Familiarize yourself with the drag-and-drop interface.

Step 2: Connect Gmail for Automatic Contact Logging

Objective: Track incoming emails from key contacts and log them into your CRM.

1. Click ”+” in Make to add a module.

2. Search for Gmail and select “Watch Emails” as the trigger.

3. Sign in to Gmail and grant the necessary permissions.

4. Set filters to track emails from important contacts (e.g., specific labels or senders).

💡 Pro Tip: Enable the Gmail API for advanced email tracking.

Step 3: Store Contact Data in Airtable

Objective: Automatically log contact details and interactions into an Airtable database.

1. Add an Airtable module in Make.

2. Choose “Create Record” (for new contacts) or “Update Record” (for existing ones).

3. Map Gmail data to Airtable fields:

✅ Name → Extract from the email sender.

✅ Email → Sender’s email address.

✅ Last Contacted → Date of the email.

✅ Notes → Summary or key points from the email.

🚀 Result: Your contact list updates in real-time, automatically. ​

Step 4: Automate Follow-Ups (Optional)

Objective: Use AI to generate and schedule follow-up emails.

1. Add a Gmail module in Make.

2. Select “Send an Email.”

3. Map the recipient’s email from Airtable.

4. Use an AI-personalized message for follow-ups.

✍️ Example Follow-Up Email Template:

Subject: Checking in – Let’s catch up!

Hi [First Name],

Hope you’re doing well! It’s been a while since we last spoke. How’s everything going with [Their Business/Project]?

Would love to reconnect—let me know if you’re free for a quick chat!

Step 5: Test & Activate the Automation

Objective: Ensure the system works before going live.

1. Send a test email to yourself.

2. Check if the email logs correctly in Airtable.

3. Verify that AI follow-ups are generated as expected.

4. Activate the Make.com scenario to run automatically.

Pro Tips for Next-Level Personal CRM Automation

Tag & Categorize Contacts – Use Airtable fields like "High-Priority," "Follow-Up Needed," or "Networking Event" to segment your contacts for better organization.

Automate Meeting Scheduling – Integrate Calendly or Google Calendar with Make.com to automatically include a scheduling link in follow-up emails.

Leverage AI for Smart Summaries – Use GPT-powered tools (like OpenAI's API) to auto-generate summaries of past conversations and store them in Airtable for quick reference before meetings.
